1. General Policy
We understand that circumstances may change after registration. This policy outlines the conditions under which refunds may be requested and processed for gym competition registrations.
2. Cancellation Timeline
✓ Full Refund (100%)
Cancellation made more than 30 days before the event date
⚠ Partial Refund (50%)
Cancellation made between 15-30 days before the event date
✗ No Refund (0%)
Cancellation made less than 15 days before the event date
3. Non-Refundable Situations
Refunds will NOT be provided in the following cases:
- No-show on event day without prior cancellation notice
- Disqualification due to false information or rule violations
- Participant's failure to meet eligibility requirements
- Change of mind after the cancellation deadline
- Medical reasons without supporting documentation
- Weather conditions or personal scheduling conflicts
4. How to Request a Refund
To request a refund, please follow these steps:
- Email your refund request to: janeeshpofficial@gmail.com
- Include your registration details:
- Full name
- Candidate number
- Registration/Form number
- Payment transaction ID (from Razorpay)
- Reason for cancellation
- Wait for confirmation email (within 2-3 business days)
- Refund will be processed to your original payment method
5. Refund Processing Time
- Approval: 2-3 business days after request
- UPI Refund Processing: 1-2 business days after approval
- Bank Transfer: 3-5 business days after approval (if UPI not available)
- Total time: Approximately 3-7 business days from approval
6. Registration Transfer Policy
Instead of cancellation, you may transfer your registration to another person:
- Transfer requests must be made at least 7 days before the event
- Transfer fee: ₹500 (administrative processing charge)
- New participant must meet age and category eligibility requirements
- Original documents must be replaced with new participant's documents
- Contact support@gymregistration.com to initiate a transfer
7. Event Cancellation by Organizers
If the event is cancelled or postponed by the organizers:
- Full refund (100%) will be provided to all registered participants
- Alternative option: Transfer registration to rescheduled event date
- Refunds will be processed within 14 business days
- Notification will be sent via email and phone
8. Special Circumstances
Medical Emergency Refund Policy:
- Medical certificate from registered practitioner required
- Must be submitted within 48 hours of cancellation request
- Subject to review by event management
- If approved, 75% refund will be provided regardless of timeline
9. Free Category Policy
Free category registrations (for participants ≤12 years) do not involve payment and therefore are not subject to refund policies. However, cancellations should still be communicated to free up slots for other participants.
10. Payment Method
All registration payments are collected via UPI payment requests sent by the admin. After registration, you will receive a UPI payment request to your provided UPI ID. Simply approve the request on your UPI app to complete payment.
How it works:
- Complete your registration with your UPI ID
- Admin sends payment request to your UPI ID
- You approve the request on your UPI app
- Payment completed - registration confirmed!
Refunds will be processed back to the same UPI ID from which payment was received.
11. Refund Status Tracking
You can track your refund status by:
- Checking your email for status updates
- Contacting our support team with your transaction ID
- Monitoring your UPI app or bank account for credit notification
